How Receipt AI Works
From a photo of a receipt to structured, exportable data in seconds — here's the full flow.
Upload a receipt
Drag and drop, or select, a photo, scan, or PDF of a receipt from the homepage or your Uploaded page. You can upload up to 20 files at once — images, PDFs, and Word documents are all supported. Uploading never requires tokens; it's free to add files to your queue any time, even if you're currently out of tokens.
AI extracts the data
When you scan a file (or it's picked up automatically), our AI reads the receipt and extracts the merchant name, date, time, amount, tax, payment method, reference numbers, and an itemized description of what was purchased. If a single file contains several genuinely separate receipts (e.g. a photo of a stack of receipts), each is detected and extracted individually.
One token per receipt
Each distinct receipt extracted costs one token from your balance (or your business's shared pool). New accounts start with a small number of free tokens; more can be purchased via M-Pesa or card at any time. If you run out mid-batch, whatever's already been processed is kept and the rest stays queued until you top up.
Review and edit
Processed receipts appear on your Processed and Output pages. You can preview the original file alongside the extracted data, and edit any field if the AI got something wrong — your correction is saved and reflected in every future export.
Export
Download your data as CSV, Excel, or PDF — a single receipt, a filtered date range, or your entire history. Business accounts can export every team member's receipts together in one "master" export, with who-added-it and their designation included.
